Company car: operating lease or long-term rental? Tax, VAT, decision

For a company car, choosing between leasing and long-term rental is also a question of tax and cash flow. We go through when each one makes sense.

In brief

When financing a company car, it’s not just the monthly fee that matters, but also VAT treatment, expense accounting and cash flow. At the end of a financial lease, the car can become a company asset; an operating lease / long-term rental, on the other hand, is typically an off-balance-sheet solution with an all-in monthly fee and minimal tied-up capital. The exact tax impact varies from company to company — always check this with your accountant. You can see the estimated monthly cost with the leasing calculator.

Quick overview: comparison table operating leasing vs. long-term rental, and our long-term rental offers for companies with real monthly fees.

For a business, a car is not just a means of transport but also a financial and tax decision. The same car has a completely different impact on the balance sheet and cash flow depending on whether you acquire it through a financial lease, an operating lease or long-term rental. Let’s look at when each one comes out on top.

VAT and expense accounting

VAT reclaim and expense accounting depend on the arrangement, how the car is used (business vs. private share) and the regulations in force at the time. Different rules apply to passenger cars than to commercial vehicles (e.g. Vito, Sprinter). Always check the exact tax impact with your accountant/tax adviser — we take care of the financing side, while your expert handles tax planning.

When does an operating lease / long-term rental make sense?

  • For fleets. With several cars, hassle-free operation at a fixed fee simplifies things a great deal.
  • If the balance sheet and cash flow matter. It doesn’t tie up a lot of capital, and costs are plannable.
  • If you change cars frequently. No need to worry about residual value and reselling.
  • If ownership isn’t the goal. What matters is use, not acquiring an asset.

When is a financial lease better?

  • If the goal is for the car to become a company asset at the end.
  • If you use the same car a lot and for a long time.
  • If you have a down payment available to reduce the monthly cost.

FAQ

What is the difference between an operating lease and a financial lease?

With a financial lease, the goal is to acquire an asset, and the car can belong to the company at the end of the term. An operating lease/long-term rental is more of a service: you use the car for a fixed fee, typically off the balance sheet.

Can VAT be reclaimed on a company car?

That depends on the arrangement, the type of car and the share of business use, and the regulations may change. Your accountant can give you the exact answer for your particular case.

Can a company also finance commercial vehicles?

Yes, the Vito and Sprinter are particularly popular in company arrangements. We wrote about importing them in our Mercedes article.

Should a company finance in crowns or in euros?

For companies with documented income in euros, euro financing can be more favourable in terms of interest; otherwise, a crown-based structure is the more natural choice.
